Shopify ERP / CRM Integration

Stop Re-Typing The Same Order Into Three Systems

Every store that grows past a few hundred orders a day hits the same wall: Shopify holds the sale, but your accounting, inventory and customer records live somewhere else. Someone ends up exporting spreadsheets at midnight to keep the two in sync. We connect Shopify to NetSuite, SAP, Zoho, HubSpot, Salesforce and similar systems so orders, stock levels and customer data move on their own, in near real time, without a person in the loop.

Real-Time Inventory Sync Two-Way Order Flow Unified Customer Records Error Alerting Built In Secure Data Mapping Ongoing Sync Support
Who Needs This

The Point Where Spreadsheets Stop Working

Shopify ERP or CRM integration means connecting Shopify’s Admin API and webhooks to your accounting, inventory or sales system so records update automatically in both directions, instead of someone exporting and re-uploading CSV files. It matters once manual reconciliation starts costing more in errors and hours than the integration itself would cost to build. These are the eight signals we see most often.

Inventory Drift

Shopify shows stock the warehouse system already sold, so you oversell and have to cancel orders.

Manual Data Entry

Someone retypes every Shopify order into the accounting system by hand, every single day.

Split Customer View

Support sees the CRM record, sales sees the Shopify order, and neither matches the other.

Pricing Mismatches

Price changes in the ERP take days to reach the storefront, or never arrive at all.

Slow Order Handoff

Orders sit for hours before the fulfilment system even knows they exist.

Multi-Channel Chaos

Stock and pricing drift apart across Shopify, a marketplace and an offline POS.

No Error Visibility

A failed sync goes unnoticed for a week because nothing alerts anyone when it breaks.

Reporting Gaps

Finance closes the books on numbers that don’t match what Shopify actually sold.

Manual vs Integrated

When It’s Time To Stop Exporting CSVs

A daily export works fine at low order volume. Past a certain point, the gap between “when the export ran” and “right now” starts costing real money.

On every integration

Your Team Reconciles By Hand

Someone spends part of every day matching Shopify orders against the ERP or CRM manually.

Stockouts Are Recurring

Overselling happens often enough that it’s a known, ongoing customer service problem.

Order Volume Outgrew CSV

Daily exports were fine at 50 orders a day. They fall apart well before 500.

Sales And Support Disagree

Two teams look at two different records of the same customer and reach different conclusions.

You’re Adding A Second Channel

A new marketplace or POS means a third place inventory can drift out of sync.

Finance Can’t Trust The Numbers

Month-end close involves manually correcting figures that a live sync would have kept accurate.

Manual Export vs Live Integration

A daily export isn’t wrong for a small store. This is what changes once order volume and channel count grow.

What We Connect

Nine Data Flows We Build Most Often

Every business runs a different combination of systems. These are the connections we build most, mapped to the actual problem each one solves.

ERP Inventory Sync

Challenge: Shopify sells stock the ERP already committed elsewhere.
Solution: webhook-driven, two-way stock level sync with your ERP.
Outcome: stock counts match across every channel, all the time.

Order Push To ERP

Challenge: orders need to reach accounting and fulfilment without a person forwarding them.
Solution: new orders sync automatically for invoicing, picking and packing.
Outcome: orders move from “placed” to “processing” in minutes, not hours.

Customer Record Sync

Challenge: sales, support and marketing each hold a different version of the customer.
Solution: Shopify customer profiles sync bi-directionally with your CRM.
Outcome: one accurate customer record, visible to every team.

Pricing & Catalog Sync

Challenge: price and product changes made in the ERP take days to reach the storefront.
Solution: catalog and price list updates push to Shopify automatically.
Outcome: the storefront always reflects current, approved pricing.

Fulfilment Status Sync

Challenge: customers ask “where’s my order” because Shopify shows stale status.
Solution: shipping and tracking updates flow back from the warehouse system.
Outcome: customers see accurate status without a support ticket.

Accounting Reconciliation

Challenge: finance re-enters Shopify sales into QuickBooks, Xero or a legacy ledger.
Solution: orders, refunds and payouts sync to your accounting system automatically.
Outcome: books that close on numbers that already match.

Lead & Marketing Sync

Challenge: purchase history isn’t visible to the CRM’s sales or retention workflows.
Solution: orders and customer tags feed HubSpot, Salesforce or Zoho pipelines.
Outcome: sales and marketing act on real purchase behavior, not guesswork.

POS & Multi-Channel Sync

Challenge: in-store and online inventory drift apart within days of launch.
Solution: a shared inventory ledger across Shopify POS, online and marketplaces.
Outcome: one true stock count, wherever the sale happens.

Custom Middleware

Challenge: your ERP or CRM has no ready-made Shopify connector, or the existing one doesn’t fit.
Solution: a purpose-built integration layer with proper auth, retries and logging.
Outcome: a reliable connection instead of a brittle, unsupported workaround.

How It Fits Together

A Typical ERP / CRM Integration Architecture

Every stack is different, but most integrations follow this same data path between Shopify and your back office.

1

Shopify Core

Orders, customers and inventory changes fire as events.

2

Webhooks

Order creation, fulfilment and inventory-level changes trigger instantly.

3

Integration Layer

A dedicated middleware service validates, transforms and queues each event.

4

Field & Object Mapping

Shopify fields map to the equivalent ERP or CRM fields, including custom ones.

5

ERP / CRM API

NetSuite, SAP, Zoho, HubSpot or Salesforce receives the mapped record.

6

Retry Queue

Failed calls retry automatically instead of silently dropping the record.

7

Error Alerting

A genuine failure notifies your team the same day, not the same month.

8

Reverse Sync

Stock levels, statuses and pricing changes flow back into Shopify the same way.

Quick Answers

Straight Answers, No Sales Pitch

Is this a one-time export or a live connection?

Live. We build event-driven sync using Shopify’s webhooks and your ERP or CRM’s API, so records update within seconds to a few minutes, not once a day.

Which systems do you connect to?

NetSuite, SAP Business One, Zoho, HubSpot, Salesforce, QuickBooks, Xero and most systems with a documented API. If yours doesn’t have one, we scope a custom middleware layer.

What happens if the sync fails?

Failed calls retry automatically on a backoff schedule, and a genuine failure triggers an alert to your team so it gets fixed the same day, not discovered a week later.

Integration Process

Eight Stages, Each With A Deliverable

Every stage ends with something concrete to review before we move to the next one.

1Discovery
2Data Mapping
3Architecture
4Sandbox Build
5Testing
6Go-Live
7Monitoring
8Support
01

Discovery

Deliverable: an audit of your current systems and manual workarounds. Timeline: 2 to 3 days.

02

Data Mapping

Deliverable: a field-by-field mapping document between both systems. Timeline: 3 to 5 days.

03

Architecture

Deliverable: a sync architecture doc, your approval point. Timeline: 2 to 4 days.

04

Sandbox Build

Deliverable: a working sync in a test environment. Timeline: 1 to 3 weeks.

05

Business Outcomes

What A Live Sync Actually Changes

Not integration for its own sake. Here’s the business case for each outcome.

Fewer Stockouts

Accurate, real-time inventory means fewer oversold items and fewer order cancellations.

Reduce Manual Work

Hours spent on data entry and reconciliation get reallocated to work that actually needs a person.

One Customer View

Sales, support and marketing work from the same accurate record instead of three versions of it.

Scale Without New Headcount

Order volume can grow without adding staff whose job is reconciling spreadsheets.

Faster Fulfilment

Orders reach the warehouse system in minutes, shortening the whole pick-to-ship cycle.

Cleaner Financial Reporting

Month-end close reflects what Shopify actually sold, without manual correction.

Confident Multi-Channel Expansion

Adding a marketplace or POS doesn’t multiply the reconciliation work.

Fewer Costly Errors

Retyped data is where most order and pricing mistakes originate. Automating removes that step.

AI In ERP / CRM Integration

Where AI Adds Real Value On Top Of A Working Sync

A live integration gives AI something worth acting on: clean, current data instead of a stale export. Once orders, inventory and customer records sync reliably, a few AI-assisted layers start paying off. Predictive inventory models flag likely stockouts before the ERP count actually hits zero, using sync history instead of a static reorder threshold. Automated customer record enrichment fills gaps in your CRM (order patterns, support history, lifetime value) as records sync, instead of leaving that work to a sales rep. And an AI agent can sit on top of the integration layer itself, watching sync logs and flagging anomalies (a sudden mapping mismatch, a spike in failed retries) before they become a week-long data problem.

These aren’t generic AI features bolted onto a landing page. They only work because the underlying data sync is accurate and current, which is exactly what this integration work builds first. If you’re weighing where AI actually fits your operations, from predictive inventory to automated customer records to a support chatbot trained on your own data, our AI development services team (AI agent development, AI automation, AI chatbots, AI consulting and generative AI development) can scope that as a follow-on phase once your ERP or CRM sync is live.

Predictive Inventory

Forecasts likely stockouts from sync history and seasonal order patterns, not just a fixed reorder point.

Automated Customer Records

Enriches CRM profiles with purchase behavior and support history automatically as data syncs in.

Frequently Asked Questions

Common Questions About Shopify ERP / CRM Integration

What does Shopify ERP or CRM integration actually mean?

It means connecting Shopify to your ERP, such as NetSuite, SAP or Odoo, or your CRM, such as Salesforce, HubSpot or Zoho, through their APIs and webhooks, so orders, inventory, pricing and customer records update automatically in both directions. It replaces manual CSV exports and re-typed data entry with a live, event-driven data flow. The hardest part is rarely the API. It is agreeing which system is the source of truth for each field and what happens when the two disagree, and that gets decided and documented before any code is written.

Who owns the integration once it is built?

You do, and that should cover the code, the credentials and the documentation. The integration lives in your repository or is handed over in full, API keys are created under your accounts rather than ours, and the field mapping and error handling are written down so another developer can pick it up. This matters more with integrations than with most work, because one that nobody understands becomes something nobody dares touch, and then a small change to your ERP turns into a crisis. If you ever move to another supplier, they should be able to read what exists and carry on from there.

What happens if we change ERP later?

It is far less painful if the integration was built expecting it, which is why we keep the Shopify side and the vendor specific side separate rather than wiring them straight together. The logic describing what your business does with an order does not change when the system underneath it does, so that part survives, and only the connector to the new platform gets rebuilt. That usually saves a meaningful share of the work compared with starting again. We also keep the field mapping as written documentation rather than only as code, because it records your business rules and those outlive any product.

How long does a typical ERP or CRM integration take?

A single, well-defined sync, for example orders pushing to your ERP, usually takes 2 to 3 weeks. A full two-way integration covering inventory, orders and customers typically runs 3 to 6 weeks. Multi-system enterprise projects can take 6 to 12 weeks depending on how many systems are involved. The dependency that most often moves these dates sits on the other side: sandbox environments, API credentials and time with whoever understands your ERP configuration. We request those on day one, because they routinely take longer to arrange than the development itself.

How fast does data actually sync between the two systems?

With webhook-driven sync most changes reach the other system within seconds to a few minutes, rather than the hours or full day typical of a scheduled export. Exact latency depends on the receiving system's own API response time and rate limits. We set expectations per data type rather than quoting one number: inventory usually needs to be near-immediate to prevent overselling, while historical order attributes can safely batch. Where an ERP genuinely cannot accept real-time writes, we queue and pace them instead of pretending its limits are ours to remove.

How do you avoid overwriting good data during the first sync?

By treating the initial load as the riskiest step, because it is. Before anything writes, we run the sync in a reporting mode showing exactly what would be created, updated or overwritten, and we go through that output with you rather than trusting it. Records existing in both systems are the dangerous ones, so we agree in advance which side wins for each field instead of letting the sync decide by accident. The first run goes against a copy, then a small real batch, then the rest. Reversing a bad bulk write across two systems is far harder than checking beforehand.

Can you sync existing custom fields, not just standard order data?

Yes. Part of discovery is a field-by-field mapping document covering custom fields on both sides, whether that is a custom pricing tier in your ERP or a loyalty tag in your CRM, so nothing is dropped in translation. Shopify metafields are used for anything without a native home rather than overloading an existing field, which keeps the data readable later. That mapping document is signed off before build and kept as living documentation, because it is what lets a different developer understand the integration in two years without reverse-engineering the code.

Do we need Shopify Plus for ERP or CRM integration?

No. Standard Shopify plans support the Admin API and webhooks needed for most integrations. Shopify Plus becomes relevant for very high API call volumes or when you also need Checkout Extensibility alongside the integration. If somebody tells you an integration requires Plus, ask which specific limit is being hit, because in most cases the answer is none. Where volume genuinely is the constraint, the fix is often better query shaping and bulk operations rather than a plan upgrade, and we look at that before recommending you spend more.

Will this integration break when Shopify or our ERP releases an update?

We build on documented, supported API versions and version our integration layer independently, so a platform update triggers a review rather than a silent break. Ongoing monitoring is part of every engagement, so problems surface before they affect operations. Shopify supports each API version for a limited window, so upgrade dates are tracked as scheduled maintenance rather than emergencies. ERP vendors are less predictable, which is precisely why the integration layer sits between the two systems: a change on either side is absorbed in one place instead of rippling through your store.

What if our current process is a mix of manual work and a partial integration already?

That is the most common starting point. Discovery includes auditing what you already have, spreadsheets, a partial Zapier flow, an old connector, and identifying exactly which manual steps to automate first rather than rebuilding what already works. Sometimes the honest recommendation is to keep a working no-code flow and replace only the parts that fail at your volume. We also ask which manual steps exist because somebody does not trust the data, since those are usually a symptom of an earlier integration that failed quietly and was never fixed.

Can AI be part of an ERP or CRM integration project?

Yes, as a follow-on phase once the core sync is reliable. Predictive inventory forecasting and automated CRM record enrichment both depend on clean, current data, which the integration itself provides. Our AI services team can scope that work separately once your sync is live. The sequence is deliberate rather than a sales tactic: a forecast built on inconsistent data produces confident wrong numbers, and enrichment applied to duplicate customer records multiplies the mess. Get the plumbing trustworthy first, then decide whether an AI layer earns its cost at your volumes.

Do you provide support after the integration goes live?

Yes. Every engagement includes sync health monitoring and error alerting from day one, and we offer ongoing support to maintain the integration as your ERP, CRM or Shopify's own APIs change over time. Integrations are the classic silent failure, because nothing on the storefront looks wrong while orders stop reaching your ERP, so alerts go to a channel a person actually watches. You keep access to the logs and the monitoring configuration whether or not you stay on a retainer, so taking it in-house is a handover rather than a rebuild.
