Common Questions About Magento Third-Party Integration

How much of an integration can we maintain ourselves?

More than you might think, if it is built and documented for that. Routine changes such as adding a field to a mapping, adjusting a schedule or updating credentials are things an in-house developer can handle, provided the mapping lives in configuration rather than buried in code. What genuinely needs us is a change to how the systems talk, a new endpoint, or diagnosing a failure spanning both sides. We hand over the mapping documents, the error handling rules and access to the monitoring, and we are equally happy to keep it on support. That choice should be yours rather than forced by opacity.

How is this different from Magento API integration?

API integration is about building and exposing the API layer itself: REST and GraphQL endpoints, webhooks and custom services that other systems can call. Third-party integration is about connecting Magento to specific business systems, your ERP, CRM, courier or marketplace, so real data flows between them. The two often work together and we cross-link both pages so you can pick the right starting point. In practice, if you know which system needs connecting, start here. If you are building a platform for other applications, a mobile app or a headless storefront to consume, start with the API work.

What happens when a vendor changes their API?

It is the main reason integrations need maintenance rather than being finished. Vendors retire versions, change field formats and occasionally alter behavior without changing the version at all. We pin to a specific API version where the vendor supports it, monitor error rates and unexpected response shapes rather than only outright failure, and record published deprecation dates so migrations get scheduled instead of discovered. Silent changes are the difficult category, which is why we alert on data that looks wrong as well as on requests that fail, since the second kind is easy to spot and the first is not.

Can you keep stock in sync across Magento and marketplaces?

Yes. We sync inventory in both directions between Magento, your ERP and marketplaces such as Amazon and eBay, so a sale on any channel updates the others and you stop overselling or hiding available stock. The design decision that has to be made first is which system holds the truth. Multi-channel stock goes wrong when two systems both believe they are authoritative and quietly overwrite each other. We name a single source, usually the ERP or the warehouse system, make every other channel a consumer of it, and set buffer thresholds on fast-moving lines.

How do you make sure bad data does not spread between systems?

We map every field before building anything, then run a dry-run reconciliation with real data in test mode so mismatches surface before a single record is written. Go-live is staged and reversible, and monitoring plus retries keep the sync clean afterward. Validation sits on the way in as well as the way out, because an integration that faithfully copies a malformed record has still done damage, just efficiently. Records that fail validation are held and reported rather than forced through, so a data problem stays one record instead of becoming a cleanup across two systems.

How do you handle systems with rate limits?

By designing around them rather than hitting them and retrying. Most platforms cap how many API calls you can make in a window, and a naive integration looping through ten thousand products will exhaust that quickly, then start failing in ways that look random. We batch requests where the API supports it, queue work so it spreads across time instead of arriving at once, and back off progressively when a limit is returned rather than hammering. Bulk operations use dedicated bulk endpoints where they exist. The result is a sync that takes slightly longer and finishes reliably.

Do you build custom connectors or use ready-made ones?

Both, depending on what fits. A ready-made connector is fastest where one exists and genuinely suits your flow. Where your process is specific, or several systems have to stay in sync with each other, a custom module or a middleware layer gives a better fit with no vendor lock-in. We recommend after reviewing your setup rather than by default. The question we ask is how much of your process would have to bend to match the connector. Adapting a workflow to fit a supported product is often sensible, but rebuilding how your warehouse works to suit a plugin is not.

Can you connect our ERP so orders do not get re-keyed?

Yes. Orders, customers and invoices are pushed from Magento into your ERP automatically, with stock and product data synced back, so your team stops copying orders by hand and transcription errors disappear. Manual re-keying costs more than the hours it consumes, because it also caps how many orders you can take in a day and puts a person between the customer and fulfillment. The mapping work concentrates on the awkward cases manual entry tends to hide: partial shipments, refunds and credit memos, multi-currency orders, and tax treatments that differ between the two systems.

Will my CRM show each customer order history?

Yes. We feed customers, orders and lifecycle events into Salesforce, HubSpot or Zoho so sales and support see the full picture without switching systems or asking a customer to repeat themselves. Two details separate a feed people use from one they ignore. Identity matching has to be decided up front, since the same person may appear as a guest checkout and as a registered account under different email addresses. And the events pushed across should be the ones that trigger action, such as a failed payment or a first repeat order, not every page view.

Can you integrate our accounting software?

We keep QuickBooks, Xero or Tally current by pushing orders, invoices, credit memos and tax automatically, so finance is never a week behind and month-end stops being a manual export. Accounting integrations demand more precision than most, because the receiving system is used for filing and the numbers have to be defensible. We agree the treatment of the difficult cases before building: refunds and partial refunds, shipping and tax splits, gift cards and store credit, foreign currency and rounding. Those decisions belong to your accountant, so we ask rather than assume.

Will integrating slow down my Magento store?

No. Integrations run through queues and background processing so syncs never block the storefront or checkout, heavy work happens asynchronously, and we monitor load to keep the site fast. The failure pattern worth naming is the synchronous call, where a checkout waits on a live response from an ERP or a courier. It works fine in testing and then times out on your busiest afternoon, taking the order with it. Anything that does not have to happen before the customer sees a confirmation is moved off the request, with sensible timeouts on whatever genuinely must stay inline.

Do you support the integration after it goes live?

Yes. Monitoring, alerting and retries run from day one, and we provide ongoing support to adapt the integration as your systems and volumes change. Integrations need this more than most work because they depend on software you do not control.
